How do I declare or decline my swimmers for meets?
- Log onto the Penguins Website using your email and password for Swimtopia (top right hand side Welcome drop down)
- Go to Meets & Events
- Select Calendar of Events
- Select the desired meet
- Select green "Meet Entry" button
- Select blue "Edit" button
- Next to each swimmer's name is a drop-down box, select "attending" or "not attending"
- Select if your swimmer is available for relays. (Available for ALL relays; arriving late, not available for early relays; leaving early, not available for late relays or not available for any relays)
- Fill in Coaches notes: if you can make first half or second half only or any information you need the Coaches to know.
- Select blue SAVE button.
- Select blue link BACK to SWIM MEETS.
- Repeat steps for all swim meets.
*Please note: Signing your swimmer out of a meet does not relieve you of your scheduled jobs. NO SHOWS will immediately be charged $75.
How do I know which events my kids are swimming?
Download the Swimtopia App on your phone, login in with same email and password you used to register for the team. The app lists your swimmer's events and your volunteer jobs. Also you can check the line-up board posted by Coach Cory before the meet starts.
What time do swim meets start, and how long do they last?
Swimmer check-in begins between 7 & 7:30 AM.
- 7:30 AM - Warm-up for 13-14 and 15-18 age groups
- 8:00 AM - Warm-up for 9-10 and 11-12 age groups
- 8:20 AM - Warm-up for 5-6 and 7-8 age groups
- 8:40 AM - Team Cheer
Swim meets usually end approx. around 3 PM, however it does depend on the team we are swimming against and the number of lanes in the pool we are competing in.
How many volunteer points do I need?
10 points per family (ages 12 and under)
4 points per family (ages 13 and over)
If you do not complete your points by the end of the swim season, you will be charged $75 for every point not earned.
How do I sign up for volunteer points?
- Go into Job Sign Up in the Event
- Click on Job Signup
- Click on Sign Up for Jobs
- Scroll down to Save Assignments
*Make sure you mark them in your calendar. NO SHOWS will immediately be charged $75.
How do I check my volunteer points/info?
On the website:
- Top Right
- Welcome _____(your name)
- Click on my account
- Scroll down
On the App:
- Go to the home screen.
- Scroll down
- Click on the event with parent's name
How do I remove myself from a volunteer job?
If you are unable to complete your volunteer shift please remove yourself as soon as possible. We cannot do it. It has to be done on the website not the app.
- Go into Job Sign Up in the Event you need to change
- Click on Job Signup
- Click on Sign Up for Jobs Un-click your check.
- Scroll down to Save Assignments
NO SHOWS will immediately be charged $75.
What time do I need to arrive for my volunteer job?
Most volunteers should be checked in by 8:15 A at the check-in tent. Snack Bar, Swimmer/Volunteer check-in, and Set-Up crew have different check-in times. If you are running late please make sure you have the Meet Coordinator's cell phone # to let them know. If you are volunteering for Lane Slip Runner, Lane Timer or Lane Writer please meet at the announcer's table on deck for the meeting at 8:30A. Listen for the announcement.
What time does the 2nd shift volunteer job start?
If possible, please check in at the Volunteer table next to the Swimmer Check-In by 8:15 a.m. 1st Shift ends at Event #36 Men's 15-18 50 Breaststroke. The 2nd shift starts at Event #37 Girls 6 & Under 25 Butterfly. If you are volunteering for Lane Slip Runner, Lane Timer, or Lane Writer please meet at the announcer's table on deck for the meeting before Event #37.
